New (Improved) ARC Request Process!!

On January 25, 2025, Rob Smith, the current president of the Almond Glen Owners Association, outlined updates to the Architectural Review and Approval process. These updates aim to streamline the application procedure, enhance transparency, and reduce costs associated with external management.

Key Details:

  1. Application Process:
    • The form is accessible on the HOA’s website (almondglenhoa.org) and covers various modifications, such as tree removal, fence installation, or color changes to shutters.
    • Applicants provide basic information (name, address, contact details), describe the project (e.g., fence type and color), and agree to follow HOA bylaws and regulations.
  2. Submission and Review:
    • Applications are logged digitally, with email confirmations sent immediately upon submission.
    • The process allows homeowners or contractors to submit requests directly. Board members review submissions and record decisions (approved/denied) in an organized tracking system.
    • The system maintains a searchable archive for future reference, ensuring transparency and accountability.
  3. Notifications:
    • Applicants receive email updates regarding the status of their requests, including approvals, denials, or requests for additional information.
    • In case of a denial, the applicant may appeal, with board members able to view detailed notes on decisions.
  4. Cost and Efficiency:
    • The new process eliminates delays caused by relying on the HOA management company and avoids the $13 fee per request previously charged under the management contract.
    • Direct board oversight allows for quicker reviews and decisions without involving third-party intermediaries.

Benefits:

  • Faster application reviews and real-time status updates.
  • Cost savings by bypassing management company involvement.
  • Improved record-keeping and accessibility for future reference.
  • Streamlined communication between applicants and the HOA board.

This update reflects the board’s commitment to improving efficiency, reducing costs, and enhancing member satisfaction. Additional updates to HOA processes are anticipated in the future.
